JakoMeet Privacy Policy

Version 2026-10-27 · Last updated 27 October 2026

This Privacy Policy explains how Unusual Companies BV, the company that operates JakoMeet, processes personal data when JakoMeet decides why and how the data is used (as "controller").

1. What this policy covers, and what it does not

This policy covers:

  • people who create a JakoMeet account or are members of a workspace;
  • members of the JakoMeet Network (people who allowed JakoMeet to email them about other webinars they may be interested in and, if they agreed to it, about JakoMeet announcements);
  • recipients of JakoMeet's own emails, such as product announcements (see 2.2) and JakoMeet announcements (see 2.3);
  • visitors of jakomeet.com and of JakoMeet event pages, for the technical data we need to run the site.

It does not cover the data that an organiser collects through its own event on JakoMeet (for example your registration for a webinar, the organiser's emails to you about it, your questions in a webinar). For that data the organiser is the controller: its name and privacy policy are shown in the notice directly above the register button. JakoMeet processes that data on the organiser's behalf under our Data Processing Agreement.

2. The data we process, why, and on what legal basis

2.1 Accounts and customers

  • Data: name, email address, password (stored only as a hash), workspace and company name, role, billing details, invoices, the packages you use, support messages, and records of when you accepted our terms.
  • Why: to create and run your account, provide the Service, take payments, send service messages and provide support.
  • Legal basis: performance of our contract with you (Article 6(1)(b) GDPR); keeping invoices and accounting records is a legal obligation (Article 6(1)(c)).

2.2 Product announcements to customers

  • Data: name, email address, the packages you use.
  • Why: to tell customers about new features and similar JakoMeet services.
  • Legal basis: our legitimate interest (Article 6(1)(f)) and the rules for emailing existing customers about similar services. You can object at any time with the unsubscribe link in every message.

2.3 The JakoMeet Network (Audience Boost) and JakoMeet announcements

  • Data: name, email address, country, language (taken from your country), company, job title, industry, role and seniority (derived from your job title when you did not give them), company size and, where our earlier contact lists include them, a phone number, and where those lists or the JakoMeet account you joined with include it, the address of your LinkedIn profile; the webinars you registered for when you ticked the JakoMeet box (their title, date and topics) and whether you attended them; for each Network email, whether it was delivered or bounced, whether you opened it or clicked a link, and whether you unsubscribed or reported it as spam; and records of your consent and of any unsubscribe: when and how you gave your consent and, if you ticked a JakoMeet box, the wording and language you were shown and, where recorded, your IP address, or, if you are on one of JakoMeet's earlier contact lists, which list you came from and the date by which its consents were collected.
  • Where the data comes from: from the registration form on which you ticked the JakoMeet box; from your JakoMeet account, if you joined the Network when you created it (before 15 October 2026); for people on JakoMeet's earlier contact lists, from those lists (we record where each list comes from and when its consents were collected); from what we derive, as described above; and from Mailchimp, which tells us what happened to each Network email. Some professional details (such as company, industry and role) may come from publicly available professional sources. If you are on one of JakoMeet's earlier contact lists, the first JakoMeet Network email you receive tells you why you receive it and links this policy.
  • Why: to send you invitations to webinars that match your profile and interests, and JakoMeet announcements. Audience Boost invitations are requested by organisers on JakoMeet, who choose criteria such as country and industry and never see who matches them; JakoMeet reviews every Audience Boost send before it goes out. JakoMeet also writes invitations itself, for example to webinars it runs with partners, and its announcements, and sends them by hand from Mailchimp. We group members into segments (for example by country, industry or recent activity) so that invitations are relevant. This grouping has no legal or similarly significant effect on you.
  • Legal basis: your consent (Article 6(1)(a)). You give it by ticking the optional JakoMeet box on a webinar registration form ("I allow JakoMeet to email me about other webinars I may be interested in and about JakoMeet announcements"); the box is never ticked for you, and registering for a webinar does not require it. People on JakoMeet's earlier contact lists gave it when they agreed to hear from JakoMeet; that consent covers invitations to other webinars and JakoMeet announcements. Before 15 October 2026 you could also agree, when you created a JakoMeet account, to receive invitations to other webinars; that agreement, and the versions of the box shown before 15 October 2026, named invitations only and do not cover JakoMeet announcements. Ticking the box is enough: we do not ask you to confirm it by email. We keep the records of your consent and of any unsubscribe, and the suppression list, to show that you agreed (Article 7(1)) and to respect your choice; for that the legal basis is our legitimate interest (Article 6(1)(f)).
  • How Network emails are sent: with Mailchimp Marketing, from JakoMeet's own Mailchimp account. Mailchimp receives your name, email address, country, language, company, job title, industry, role, seniority and company size, when you gave your consent (if you are on one of JakoMeet's earlier contact lists, the date by which that list's consents were collected) and what it covers, and markers such as whether we emailed you in the last 7 days or still owe you our first notice. The phone number and LinkedIn address in your Network profile stay in JakoMeet: we do not send them to Mailchimp, show them to organisers or use them to choose who is invited. Network emails contain tracked links and a small image, so that Mailchimp can record whether an email was opened and which links were clicked. Audience Boost invitations show the organiser's name followed by "via JakoMeet", but JakoMeet sends them and receives the replies.
  • What organisers see: organisers never learn who is in the Network or who received their invitation, unless you register for their webinar. They see aggregated numbers only, for example how many invitations were delivered, opened or clicked. If you register for an organiser's webinar, you become that organiser's registrant like any other registrant, and the organiser sees that you came through the JakoMeet Network.
  • Frequency: you receive at most one Audience Boost invitation in any 7 days, and none in the 7 days after any other JakoMeet Network email.
  • Withdrawing: every Network email has a one-click unsubscribe link. Unsubscribing from any Network email, an invitation or a JakoMeet announcement, stops all Network emails: there is one list and one unsubscribe. We keep your profile (see 5) but no longer email you; you can ask us to delete it at any time. If you report a Network email as spam, we remove you from the JakoMeet Network. Neither affects emails about a webinar you registered for (confirmation, reminders).

2.4 Website and security data

  • Data: IP address, browser and device information, pages requested, log-in and security events, cookies that are strictly necessary (session, security, language).
  • Why: to deliver the site, keep it secure, prevent abuse and fix errors.
  • Legal basis: our legitimate interest in running a secure service (Article 6(1)(f)). We do not use advertising or analytics cookies. If that changes, we will ask for your consent first.

3. Who receives your data

  • Service providers (processors) that host or run parts of JakoMeet for us, such as hosting, email delivery, video and AI providers. They may only use the data on our instructions. Most are listed in Annex III of our Data Processing Agreement; our email provider is described below.
  • Mailchimp (The Rocket Science Group LLC, United States), our email provider: Mailchimp Marketing sends the JakoMeet Network emails and keeps the Network mailing list, and Mailchimp Transactional delivers account emails and, on organisers' behalf, the emails about webinars you registered for (see our Data Processing Agreement).
  • Organisers, only when you register for their webinar (see 2.3).
  • Our payment provider, for payments.
  • Authorities, when the law requires it.

We do not sell personal data.

4. International transfers

Some providers are located outside the European Economic Area, mainly in the United States. We transfer data to them only with the safeguards the GDPR requires, such as the European Commission's Standard Contractual Clauses or the EU-U.S. Data Privacy Framework for providers certified under it. Mailchimp, which sends our JakoMeet Network and account emails, is in the United States. You can ask us for a copy of the safeguards at [email protected].

5. How long we keep data

  • Account data: while your account exists, then deleted within 30 days of closure and from backups within 90 days.
  • Invoices and accounting records: 7 years, as Dutch tax law requires.
  • JakoMeet Network data: while you are a member and, after you leave the Network, as follows. If you unsubscribe, we stop all Network emails, keep your email address on a suppression list so that we never email you again, and keep your profile until you ask us to delete it. If you report a Network email as spam, we remove you from the Network and keep your email address on the suppression list; your profile is kept in the same way. If an email to you bounces for good, we stop emailing that address and keep it on the suppression list; your profile is kept in the same way. Records of your consent and of any unsubscribe are kept as long as your profile and deleted with it. If you ask us to delete your data, we delete your Network profile and its history in JakoMeet and in Mailchimp, and keep only a one-way code (hash) of your email address so that you are never added again.
  • Security logs: for a limited period needed to investigate incidents.

6. Your rights

You have the right to access, correct or delete your personal data, to restrict or object to its processing, to data portability, and to withdraw consent at any time without affecting earlier processing. You can always object to direct marketing.

Send your request to [email protected]. We answer within one month. For data an organiser controls, contact the organiser; we will forward requests we receive.

You may also complain to a data protection authority. In the Netherlands this is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl); you may also contact the authority in the country where you live or work.

7. Security

We host JakoMeet in a data centre in Germany, use encrypted connections (HTTPS), restrict server access to our own team with two-factor authentication, separate each customer's data, and keep audit logs of sensitive administrative actions. More detail is in Annex II of the Data Processing Agreement.

8. Children

JakoMeet is a service for professionals. It is not intended for anyone under 16.

9. Changes

We may update this policy. The version and date at the top show when it last changed. We will tell account holders about material changes by email or in the product.
